1. Who we are

2. What this app does

Ariadne Thread is a B2B conference contact management tool for medical affairs professionals. It allows users to scan conference badges, capture contact information, score Key Opinion Leaders (KOLs), coordinate team outreach, and send follow-up emails.

3. What data we collect

We collect and process the following categories of data:

• Account data: Your name, email address, and organisation, provided when your account is created by your institution administrator.
• Contact data: Names, job titles, institutions, email addresses, and phone numbers of professional contacts you capture at conferences. This relates to other professionals in a business context, not patients.
• Badge scan images: Photographs of conference badges taken within the app, used solely to extract contact information via OCR.
• Location data: GPS coordinates at the time a contact is captured, used to record where you met someone. Location is only collected when you actively scan a badge and only if you grant permission.
• Usage data: Basic logs of app activity for debugging and service improvement.

4. How we use your data

• To provide the Ariadne Thread service to your organisation
• To enrich contact information using AI (via Anthropic's Claude API) based on publicly available professional information
• To enable team coordination features (shared contact records, follow-up tracking)
• To generate conference analytics and ROI reports for your organisation
• To send follow-up emails on your behalf when you use the follow-up feature

We do not use your data for advertising. We do not sell your data to any third party.

5. AI enrichment

When you scan a badge, the extracted text may be sent to Anthropic (claude.ai) to enrich the contact record with publicly available professional information such as institutional email addresses, roles, and research interests. This data is processed solely for enrichment purposes and is not used to train AI models. Anthropic's privacy policy applies to this processing: anthropic.com/privacy.

6. Where your data is stored

All data is stored on servers located in the European Union (Ireland), hosted on Amazon Web Services (AWS). This means your data is subject to GDPR protections. Data is encrypted in transit (TLS) and at rest.

7. Data sharing

Your data is shared only:

• Within your organisation (other users in your institution's Ariadne Thread account)
• With Anthropic, solely for AI enrichment as described above
• With AWS, as our infrastructure provider
• If required by law or a court order

Your data is never visible to users from other organisations.

8. Data retention

We retain your data for as long as your organisation's subscription is active. On termination, data is deleted within 90 days unless you request earlier deletion.

9. Your rights (GDPR)

If you are located in the UK or European Economic Area, you have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Object to or restrict processing
• Data portability

10. Camera and location permissions

Camera: Used only for badge scanning and QR code reading. Images are processed on-device and/or sent to our server for OCR. They are not stored permanently unless you choose to save a contact.

Location: Used only to record where a contact was captured. Never tracked in the background. You can deny this permission and the app will function normally without it.

Push notifications: Used for team safety features (SOS alerts, colleague summoning, check-in timer expiry). You can disable these in your device settings.

11. Children

Ariadne Thread is intended for use by medical affairs professionals and is not directed at children under 13. We do not knowingly collect data from children.

12. Changes to this policy

We may update this policy from time to time. We will notify users of material changes by email. The date at the top of this page shows when it was last updated.
